Privacy notice
What personal information Simplifico collects, why we collect it, who we share it with and the rights you have under the Protection of Personal Information Act (POPIA).
1. Who we are
Simplifico (Pty) Ltd (company registration 2025/124440/07) is a digital growth company based in Centurion, Gauteng, South Africa. For the purposes of the Protection of Personal Information Act, 2013 (POPIA), Simplifico is the responsible party for the personal information described in this notice.
Our Information Officer is Duáne Kellerman, Founder. You can reach us at duane@simplifico.xyz or on +27 69 496 9954.
2. What we collect
We only collect what we need. Depending on how you use our website, that includes:
- Enquiry form: your name, email address, WhatsApp number, website (if you share it), what you need help with, your consent, and which page and campaign you came from.
- Strategy call bookings: the details you enter when you book through Calendly, such as your name, email and any answers you give.
- Free tools: the information you enter into our free tools, such as a website address you ask us to check. If you ask us to email your results, we also keep your name, email address, WhatsApp number (if you give it), a short summary of your results, and whether you asked for a reminder to run the tool again.
- Website analytics: information about how you use the site, such as pages visited, device and browser type, approximate location and how you arrived, collected through Google Analytics and Google Ads, only if you allow it. On our homepage, Microsoft Clarity also records how visitors scroll, click and move through the page, including session recordings, so we can improve the layout.
- Shop orders: your name, email address and what you bought, so we can deliver your download and help if something goes wrong. Payment details are handled by PayFast, not by us.
- Emails and messages: anything you send us by email or WhatsApp.
3. Why we collect it
We use your personal information to:
- reply to your enquiry and give you the information you asked for;
- email you your free tool results when you ask for them and, if you ticked the box, one reminder to run the tool again;
- prepare proposals and quotes, and deliver the services you engage us for;
- understand how our website and advertising perform, so we can improve them;
- keep our website secure and prevent spam; and
- meet our legal, tax and accounting obligations.
We do not sell your personal information, and we do not use it for any purpose that is incompatible with the reason it was collected.
4. Our lawful basis
We process personal information on one or more of these grounds under section 11 of POPIA: your consent (for example, when you tick the consent box on our enquiry form); because it is necessary to take steps you have asked for before entering into a contract, or to perform that contract; because the law requires it; or because it is necessary for our legitimate interests, such as measuring and securing our website, where those interests do not override your rights.
You may withdraw your consent at any time by emailing us. Withdrawing consent does not affect processing that already took place lawfully.
5. Direct marketing
We will only send you marketing by email, SMS or WhatsApp if you have agreed to receive it, or if you are an existing client and the message is about services similar to those you received from us, as section 69 of POPIA allows. Every marketing message gives you a simple way to opt out, and replying to an enquiry you sent us is not direct marketing.
7. Information stored outside South Africa
Some of our service providers store information on servers outside South Africa. When that happens, we rely on providers that are subject to laws, binding rules or agreements that give your information a level of protection substantially similar to POPIA, as section 72 requires.
8. How long we keep it
We keep personal information only for as long as we need it for the purpose it was collected. Enquiries that do not lead to work are deleted within 12 months. Client records are kept for as long as South African tax and company law requires, and then deleted or de-identified.
9. How we protect it
We take reasonable technical and organisational measures to protect your information against loss, damage and unauthorised access. Our website is served over an encrypted connection (HTTPS), access to enquiry data is limited to the people who need it, and we use established service providers with their own security safeguards. If we believe your information has been accessed without authorisation, we will notify you and the Information Regulator as section 22 of POPIA requires.
10. Cookies and analytics
When you first visit, we ask whether you allow analytics and advertising cookies. Until you say yes, Google Analytics and Google Ads set no cookies, and Microsoft Clarity does not load at all. You can choose Accept all, Necessary only, or choose each type separately.
- Analytics: Google Analytics shows which pages are used and how visitors arrive. On our homepage, Microsoft Clarity also records anonymous interactions such as clicks, scrolling and session replays, and hides anything typed into form fields.
- Advertising: Google Ads measures whether our ads lead to enquiries.
If you say no, Google may still receive basic, cookie-free signals that a page was visited, without identifying you. Our free tools also keep a small counter in your browser so they know how many free uses you have left. It contains no personal information, and we keep your cookie choice in your browser so we don't ask on every page.
You can change your mind at any time with Cookie settings, also linked at the bottom of every page. If you withdraw a yes, we remove the cookies those tools set on this site.
11. Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you, and ask for a copy of it;
- ask us to correct or delete information that is inaccurate, out of date, incomplete or unlawfully held;
- object to us processing your information, including for direct marketing;
- withdraw your consent at any time; and
- complain to the Information Regulator.
To make a request, email duane@simplifico.xyz. We may ask you to confirm your identity before we act on it.
To ask for access to other records Simplifico holds, see our PAIA manual.
If you are not satisfied with how we handle your information, you can contact the Information Regulator (South Africa) at Woodmead North Office Park, 54 Maxwell Drive, Woodmead, Johannesburg, 2191, by email at POPIAComplaints@inforegulator.org.za, or at inforegulator.org.za.
